Use this workflow after a completed hotel, hostel or holiday-rental stay when an authenticated trader or platform withholds a deposit, captures a pre-authorisation or adds a damage, cleaning or missing-item charge. First identify the contract, claimant and payment state. Preserve a private condition timeline, request an itemised written basis and answer only through verified channels. The facts, terms, trader status and applicable law decide the route; CheapESIM cannot determine fault, reverse a charge or guarantee a complaint outcome. Consider ordinary mobile data only for a measured, non-urgent remainder after safe travel continuity is secured.

Classify the claim before responding or paying

Record the property, stay dates, contracting party, booking platform, claimant, amount, currency and time of the notice. Distinguish a card pre-authorisation that remains pending, a deposit withheld by the trader, a completed new debit and a request to make another payment. Also separate alleged damage, abnormal cleaning, a missing item, an ordinary cancellation or no-show fee and a residential tenancy deposit. This guide starts only after the stay and an independently authenticated accommodation claim. If the sender, account or payment link is unverified, stop and use the suspicious-booking-message process first. Do not click an urgent link, share a one-time code or send another payment merely to unlock support.

Reconstruct the agreement and exact payment state

Open the original account or confirmation through an address you type yourself. Save the listing, room or unit, named trader, platform role, price, deposit and damage terms, house rules shown at booking, check-in and checkout records, invoices and authenticated correspondence. Ask the card issuer or payment service through its official channel whether the amount is pending, completed, reversed or separately charged; a reduced available balance does not by itself establish the final state. Keep card numbers, identity documents, access codes, booking references and account screenshots private. Do not rewrite, crop or overwrite originals. A platform displaying a claim does not prove liability, and a pending authorisation is not automatically a settled debit.

Build a private condition timeline, not a public accusation

Put the check-in condition, defects reported during the stay, relevant messages, checkout time, key handover and the first claim notice in order. Preserve lawful original photos or video with timestamps, a joint inventory if one exists, maintenance reports and the names of people who directly observed the condition. Record only what each item shows; do not alter images, recreate a scene, enter the property again, contact later guests or publish staff names and addresses. ECC-Net advises documenting the condition of private accommodation and reporting pre-existing damage, but that does not decide an individual dispute. If there is immediate personal danger or suspected theft, use the responsible safety or police route rather than confronting the host.

Request one itemised written claim

Ask the responsible trader or platform to identify each alleged damaged, missing or unusually cleaned item; when it was found; the evidence relied upon; the contractual term; and how the amount was calculated. Request the relevant invoice, estimate or condition record where the process permits it, while avoiding other guests’ personal data. State separately what you accept, dispute or cannot verify, and correct factual errors without guessing or admitting liability simply to obtain support. Keep every deadline and response in the original case. A replacement price, cleaning quote or platform decision is not automatically proof of fault or the amount legally due. Do not threaten staff, post private evidence publicly or pay an unofficial intermediary.

Use the complaint route that actually applies

Start with the contract’s trader or platform complaint process and obtain a reference and written outcome. Identify whether the counterparty is a professional trader, private host, package organiser or another party; consumer routes do not have identical scope. The European Commission lists national help, European Consumer Centres and alternative dispute resolution options, but eligibility depends on residence, trader country, sector and the body’s rules. Verify costs, language, deadlines and whether an outcome is binding before submission. Contact an insurer or payment provider only through its verified process and describe the transaction accurately. Keep the trip moving, then measure ordinary data

Preserve the complaint deadline, one usable written contact route and an offline copy of the essential record, then recheck every remaining traveller, accommodation, ticket and country. Consider mobile data only for modest non-urgent tasks such as opening the verified case, uploading requested evidence or reading a written decision. Subtract tested accommodation or staffed Wi-Fi, working home roaming and files already saved offline. Continue only if each country of actual use appears on the exact plan, activation and validity fit, the allowance is measured and the available phone is unlocked and compatible.
