Use this workflow when a rental company alleges damage after the vehicle has been returned. It is not the roadside process for a collision, breakdown, theft or tow. Freeze the return record before answering

Authenticate the claimant and the exact contract

Open the verified rental portal or contact the branch or central complaints channel independently. Confirm the reservation number, registration, return location and date, legal contracting company and whether an intermediary or local operator is handling the claim. Ask for a case reference and a reply address the company confirms. A deposit release, card hold, invoice, repair claim, administrative fee and insurer request are not the same transaction. Record which entity is asking for what and under which contract term; do not send identity or card details to an unverified sender.
Require a dated, itemized allegation
Ask the company to identify the precise panel, glass, tyre, interior or equipment concerned and to provide dated inspection evidence, the pre-rental and post-return condition records, the relevant agreement term and an itemized calculation. Distinguish repair, loss of use, towing, cleaning, fuel, administration, tax, deposit retention and any separate card transaction. Request the inspection timing and custody history when the car was checked after an unattended return. Do not claim that a photograph automatically proves or disproves responsibility, and do not assume an estimate equals a completed repair. Compare the material calmly with your preserved record and state factual disagreements in writing. Never alter metadata, fabricate a witness or make a payment merely to obtain documents.
Keep complaint, insurance and payment routes separate
Reply through the verified rental complaint channel within any stated deadline, attach only relevant copies and keep proof of submission. Read the agreement and any actual insurance or card-benefit terms before contacting those providers; coverage, excess, evidence, deadlines and authorization are product-specific. If the trader is in another participating European country, an appropriate consumer centre or alternative dispute-resolution body may explain an available route, but no route guarantees acceptance, cancellation, refund or compensation. Contact the card issuer through its official channel for card-transaction questions; do not describe a dispute as fraud unless the issuer's facts support that classification. Preserve every response and keep the travel itinerary separate from the unresolved financial decision.
