The short answer

Use this guide when a wheelchair, scooter, walker, prosthesis or other mobility aid is missing, delayed or damaged after a flight, train, coach, ferry or assisted transfer. First prevent a fall, unsafe manual lift or use of damaged equipment. Keep the carrier, terminal assistance service and any subcontractor roles separate, obtain a trace or damage record and require an accessible immediate plan. Do not authorize repair, discard parts or accept an unsuitable chair without understanding the handover. Stay in a safe supported position and call the responsible assistance point

Tell staff immediately that the missing or damaged item is a mobility aid, not ordinary baggage, and state what movement is unsafe without it. Remain at a staffed accessible point rather than attempting stairs, a long terminal crossing or an unsupported transfer. If there is injury, pain, pressure risk, breathing difficulty or immediate danger, use the local emergency route and competent medical help first. Identify the exact operating carrier, station, port or airport assistance desk and the last verified handover. Ask staff to record the assistance need, current safe location and an accessible way to reach toilets, medication, accommodation and onward transport while the equipment is unresolved. Do not leave the controlled arrivals or baggage area until the responsible desk states where the report must be made, unless safety or an authority instruction requires it.

Identify the exact aid, its configuration and the last custody point

Record the service number, date, arrival point, baggage or mobility-aid tag, assistance booking and the time and place where the aid was surrendered and expected back. Describe manufacturer, model, serial number if safely available, frame, cushions, controls, charger, removable battery, custom supports and every detached part. Distinguish a missing whole aid from a missing component, delayed delivery, cosmetic marks, structural damage, electrical damage or a changed setup. Use pre-travel photographs and the handler's own record; do not publish medical details, addresses, boarding passes or serial numbers on social media.

Ask who currently controls tracing or inspection and obtain one durable reference. If a tracker shows a location, provide it as supporting information only: never enter a ramp, depot, baggage room or staff area, and do not confront a handler or private person. Ask whether the aid was loaded, offloaded, sent to oversize baggage, held for battery or dangerous-goods review, transferred to another operator or delivered elsewhere. Keep this case separate from an ordinary checked-bag report. Create a condition record before use, repair or handover

Photograph the complete aid and close views of damage in a permitted place, together with tag, detached pieces and packaging. Ask the responsible staff member to record every observed defect and missing part, not merely 'damaged baggage'. Explain any custom dimensions, seating, pressure management, control position or transfer requirement without handing over unnecessary medical files. Keep the original report, names or desk identifier, local time, promised contact channel and receipts. Do not sign that the aid is usable, complete or finally settled when that is not what you observed; request a copy of anything you are asked to sign.

Do not test a powered aid when the battery casing, wiring, joystick, wheel, brake or frame may be unsafe. Do not accept glue, bending, battery substitution, software reset or transport to an unknown workshop unless a competent provider and the responsible organization approve the exact action. Preserve broken and detached parts unless an authority directs otherwise, and document that instruction. A temporary aid must be checked for fit, controls, brakes, charging, weight capacity, pressure support and safe transfers by someone competent. Availability is not suitability, and taking temporary equipment need not be described as accepting a permanent resolution.

Obtain one accessible temporary plan and rebuild every changed leg

Ask the responsible organization to state the immediate plan in writing: continued tracing with an update time, safe delivery, a suitable temporary aid, an authorized assessment or repair, accessible transport, accommodation adjustment or another accepted arrangement. Confirm who supplies, fits, collects and pays for each element before committing where possible. General EU guidance may describe compensation or replacement principles, but it does not prove a particular amount, deadline or outcome. Keep urgent mobility separate from the later claim, insurer or complaint process, and retain proportionate receipts for necessary agreed expenses.

Recheck the itinerary from the person's actual capabilities with the temporary arrangement—not from the original booking. Confirm accessible vehicle or carriage space, boarding assistance, transfer method, step-free route, battery rules, charging, room access and the handover at each connection. Include medicines, toilet access, rest, weather protection and a safe fallback if equipment or staff do not arrive. Do not proceed merely because a ticket remains valid. Obtain one accepted next leg and an offline meeting point; if the route, country or overnight stop changes, verify every new operator and accessibility request independently.

Measure only non-critical data after mobility and assistance are secured

Once a safe aid and itinerary are confirmed, list only ordinary online tasks still needed: opening a tracing update, sending a condition record through the verified portal, viewing an accepted accessible route or contacting confirmed accommodation. Subtract working home roaming, trusted Wi-Fi, offline documents and assistance that staff can provide. Keep the report reference, supplier details, itinerary and one essential contact available offline. Never depend on mobile data alone for a transfer, emergency call, medical support, building entry, battery charging, accessible vehicle or time-critical assistance.
