Build one exact chair and battery record
Write down the manufacturer, model, empty and operating weight, width, height, length, ground clearance, turning needs and any safe folding or reclining configuration. Identify the installed battery from its label and manufacturer documents: chemistry, number of batteries, voltage, amp-hour or watt-hour rating, whether it is designed to be removed, and how the electrical system is isolated. Photograph the chair and controls privately, but do not publish serial numbers, health information or travel references. Ask the manufacturer or qualified technician for instructions rather than guessing from appearance. Never disconnect, lift, fold, tilt or remove a battery in a way the exact manual does not permit.
Get a decision from every operating carrier
Give each operating airline, railway, coach, ferry and assistance contractor the real device facts and route, including every connection and aircraft or vehicle change. Ask about advance notice, size and weight limits, loading orientation, securement, battery isolation, removable components, check-in point, transfer chair, boarding order and where the wheelchair will be returned. Prepare a handling card without inviting unsafe work
Create a short handling card with photographs showing the approved isolation control, freewheel or manual-movement setting, lifting and tie-down points, detachable items and the correct operating position. State what must not be used as a handle and which parts must remain attached. Protect a joystick, cushion, headrest, charger and other removable components only in the custody allowed by the carrier; label them without exposing medical details. Review the card face to face at every handover and inspect the chair as soon as it returns. Do not instruct unqualified staff to dismantle or repair it. If it is delayed, missing or damaged after transport custody, preserve the condition record and use the separate damaged-mobility-aid process.
Verify charging, access and an independent fallback

Compare the charger's input label with destination voltage, frequency, plug and earthing conditions; a plug adapter does not convert voltage. Confirm with the manufacturer which charger and extension arrangements are permitted, and never improvise battery charging. Identify a legitimate repair contact without assuming parts, software or authorization will be available. Agree a person-specific fallback for a flat battery, inaccessible transfer, breakdown or delayed chair, including safe waiting and alternative mobility. Save addresses, maps, assistance references and the fallback offline.
Measure ordinary phone data only after mobility works offline
Make essential transfers, battery isolation, charging, accommodation entry, assistance references and urgent contact possible without consumer mobile data. Then list only modest phone tasks such as receiving an authenticated schedule update, opening a pre-checked accessible route, messaging the accommodation or contacting a known repairer for a non-urgent appointment. Subtract downloaded documents, tested home roaming and reliable Wi-Fi.
